How to Choose a Coffee Trailer for Your Event

A coffee trailer is more than a machine on wheels — it’s the first impression at arrival, the pick-me-up at 3pm, and often the last thing your guests photograph before they leave.

What a mobile coffee trailer should offer

At minimum: real espresso from a commercial machine, quality beans, milk options and a barista who knows how to steam. Anything less is a home setup dressed up.

A premium mobile coffee trailer should also handle iced drinks, matcha, cold brew, and — if you want the wow factor — dessert like affogatos and gelato. All from the same bar, without slowing down service.

Guest count and service speed

The right trailer setup depends on how many drinks per hour you actually need. A 40-person cocktail hour is different from a 300-person conference break.

Ask specifically: how many baristas will be on the trailer, what’s the throughput of the espresso machine, and what happens during the peak 20-minute rush?

Hot and iced drinks

Miami weather makes this non-negotiable. Any serious coffee trailer for South Florida events should serve hot espresso drinks and a strong iced menu — iced lattes, cold brew, nitro cold brew, iced matcha and tonic drinks.

The bigger the menu, the more of your guests get exactly what they want. Look for a trailer that treats matcha as a real program (fresh-ground, not from a jar), pours proper cold brew and nitro, and can plate a dessert-forward option like an affogato or a scoop of gelato.

The best coffee trailer partner does a site walkthrough or virtual review before the event. They confirm access, power, water, parking and where the trailer will actually live during service.

They also communicate: setup time, breakdown time, how staff will dress, and what happens if the schedule shifts.

It depends on the machine and staffing. Our trailer runs multiple baristas and can comfortably serve 80–120 drinks per hour, with peaks higher for simpler menus like iced coffee and cold brew.

Do you need power and water at the venue?+

We arrive self-contained where possible. When power is available we prefer to plug in; otherwise we bring quiet solutions. We confirm requirements after the walkthrough.

How far in advance should I book?+

For weddings and large corporate events in Miami, 6–12 weeks is ideal. Weekends book out fastest.

Can the trailer serve both hot and iced drinks?+

Yes — espresso, cappuccino, latte, iced lattes, cold brew, nitro, matcha lattes, matcha tonics, affogatos and gelato all come off the same trailer.
